Responsibilities
Under the guidance of the Director of Public Affairs, develop the annual events and sponsorship strategy and plan, ensuring the plan is reviewed and updated regularly.
Create and manage the company’s event and sponsorship calendar for effective planning and communication.
Prepare annual budget as well as ad-hoc and detailed budgets for each event and sponsorship for approval and ensure adherence.
Plan and execute events/sponsorships that will make an impact on target audiences from start to finish according to requirements, target audience, and objectives.
Provide counsel and support to Saudi Aramco/Aramco Asia functions and inter-departments for their events and sponsorships.
Drive all cross-department, inter-office collaboration and communication to support and/or manage the execution of events and sponsorships.
Ensure stakeholders are briefed on the event in a timely manner.
Source and negotiate with vendors and suppliers where applicable.
Coordinate all operations including but not limited to event set-up, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material, etc.
Ensure events are completed smoothly and step up to resolve any problems that might occur.
Analyze the event’s success and areas for improvements and prepare reports to improve on future event participation/engagement efforts.
Conduct pre- and post-event evaluations and report on outcomes.
Ensure brand coverage and compliance at events and sponsorships.
Take ownership of planning and executing all demand generation activities required to promote the event/sponsorship through digital and print marketing collateral and campaigns (such as email marketing, website posts, social media, print collateral, signage, etc.).
Provide guidance to Public Affairs team members for event management.
