Job Title: Executive Assistant – Corporate & Capital Markets Practice
Employment Type: Full-Time
Job Summary:
We are seeking a highly organised and proactive Executive Assistant to support our Corporate & Capital Markets Practice. The ideal candidate will provide comprehensive administrative and executive support to a partner, ensuring seamless day-to-day operations. This role requires exceptional multitasking abilities, attention to detail, and a strong understanding of corporate and commercial legal matters.
Key Responsibilities:
· Provide executive support to a partner, including managing schedules, coordinating meetings, and handling correspondence.
· Prepare, format, and proofread legal documents, contracts, and reports.
Assist in the administrative management of the corporate team
· Conduct research on business matters, regulatory updates, and market trends.
· Manage client interactions, including scheduling meetings, preparing engagement letters, and maintaining client records.
· Coordinate and track deadlines, ensuring timely submissions and follow-ups.
· Handle confidential information with the highest level of discretion and professionalism.
· Support billing and invoicing processes, including timekeeping and expense management.
Maintain accurate filing systems, both digital and physical, for legal documents and correspondence.
· Assist with meeting room bookings, ensuring proper AV readiness.
Take ownership of key meetings, prepare agenda, minutes and other documentation in a timely and accurate manner.
· Liaise with internal departments and external stakeholders as required.
· Assist with business development initiatives, including preparing presentations and marketing materials.
· Perform other administrative tasks as assigned to support the practice.
Key Requirements:
· Diploma or Degree in Business Administration, Law, or a related field.
· Minimum of 5 years of experience in an executive assistant, legal secretary, or administrative role within a law firm, consulting firm or corporate department.
· Strong knowledge of corporate and commercial legal terminology and processes.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.
· Excellent written and verbal communication skills.
· High level of professionalism, discretion, and confidentiality.
· Strong organisational and time management skills with the ability to prioritize tasks effectively.
· Ability to work independently and as part of a team in a fast-paced environment, with strong trouble-shooting skills to resolve issues efficiently.
· Attention to detail and accuracy in all tasks.
· Prior experience with legal billing software is a plus.
