As a Conference Manager/Assistant Production Manager/Production Manager, you’ll be responsible for leading high-profile productions, fostering strategic partnerships, and driving growth while ensuring exceptional service delivery.
You will collaborate with the Business Development, Commercial, and Technical Teams to deliver seamless events, optimize workforce utilization, and elevate client satisfaction—measured by an industry-leading Net Promoter Score (NPS) of 90% or higher.

Key Responsibilities of a Conference Manager
End-to-End Event Leadership
Lead the conceptualization, planning, and execution of live, hybrid, and virtual events.
Work closely with the Commercial Team to deliver exceptional experiences, ensuring an NPS of 90% or higher.
Collaborate with the Venue Director to optimize workforce utilization, reduce costs, and meet profit margin targets.
Maintain quality control and troubleshoot production challenges to ensure flawless execution.
Strategic Business & Financial Growth
Develop innovative strategies with the Business Development Team to attract high-value clients and secure contracts.
Strengthen relationships with prestigious venues, nurturing long-term contract renewals year after year.
Elevate the value of each contract by 15% annually through effective growth strategies.
Oversee and manage event budgets, ensuring cost efficiency while maximizing profitability.
Submit monthly/quarterly reports to the CEO and Technical Director, detailing event success and financial performance.
Client & Stakeholder Engagement
Serve as the primary point of contact for key clients, ensuring their vision is executed flawlessly.
Cultivate strong partnerships with vendors, suppliers, and production partners.
Lead partnerships for production-based events with UPVM, expanding the company’s industry presence.
Talent Development & Operational Excellence
Collaborate with HR to build a strong talent pipeline, ensuring staff are well-trained for operational and service excellence.
Retain and develop top industry talent, fostering a harmonious and high-performing production team.
Assist UPET & UPVM in leading key projects as a Project Manager, ensuring operational and financial success while keeping KPIs in check.
Support the CEO & Venue Director in additional business-related tasks when required.
The Essentials:
8+ years of experience in event production, live experiences, or related fields.
Proven track record in producing large-scale corporate, brand activations, and hybrid/virtual events.
Strong understanding of AV, staging, lighting, multimedia production, and event logistics.
Familiarity with event technology platforms, virtual/hybrid event solutions, and live streaming production.
Excellent budget management, negotiation, and vendor relationship skills.
Outstanding leadership and team management abilities.
Excellent problem-solving, decision-making, and crisis management skills.
Strong communication and presentation abilities, with a high level of client service.
Highly organized, detail-oriented, and able to manage multiple projects under tight deadlines.

Key Responsibilities of an Assistant Production Manager/Production Manager
Own the Entire Production Process:
Lead the planning and execution of live production projects, ensuring every detail is covered from concept to completion.
Collaborate with clients, vendors, and internal teams to define project scope, objectives, and deliverables.
Maintain control over timelines and budgets while pushing creative and technical boundaries.
Be the Technical Backbone:
Oversee the setup, operation, and teardown of AVL (Audio, Video, Lighting) and staging systems.
Ensure all technical requirements are met and equipment functions flawlessly during events.
Troubleshoot on the fly, keeping events running smoothly under pressure.
Manage, mentor, and motivate a team of technical professionals, freelancers, and contractors.
Assign responsibilities clearly, ensuring everyone is aligned for success.
Foster a culture of excellence, innovation, and continuous learning.
Elevate Client Experiences:
Serve as the main point of contact for clients throughout the entire event lifecycle.
Understand client needs and provide creative, technical solutions to exceed expectations.
Build lasting relationships by delivering flawless, high-impact productions.
Master Logistics & Operations:
Coordinate the scheduling and deployment of crew and equipment.
Oversee transportation, storage, and inventory management for AVL gear.
Ensure productions run like a well-oiled machine, with no detail overlooked.
Champion Quality & Safety:
Enforce high-quality production standards while ensuring safety protocols are met.
Conduct risk assessments and implement safety measures for all live events.
Stay ahead of industry best practices to keep operations smooth and secure.
Manage Budgets & Resources:
Prepare and track project budgets, ensuring financial efficiency.
Identify cost-saving opportunities without compromising production quality.
Work closely with finance teams to manage invoicing with clients and vendors.
