Logistics Coordinator cum Administrative Executive

Role Description The Logistics Coordinator cum Administrative Executive plays a dual role in supporting logistics operations and office administration for Damon Singapore. This position ensures smooth and compliant import, export, and domestic shipments while managing day-to-day administrative, HR, and financial coordination tasks. The role acts as the key liaison between the Singapore office and Damon HQ in China, ensuring operational efficiency and compliance with Singapore’s statutory and regulatory requirements. Key Responsibilities 1. Logistics and Customs Plan, coordinate, and monitor all incoming and outgoing shipments (air, sea, and land). Liaise with HQ teams, freight forwarders, customs agents, and suppliers on shipping schedules and documentation. Prepare and verify shipping documents (packing lists, invoices, certificates, delivery orders, etc.) for accuracy. Ensure timely and accurate import declarations via TradeNet (directly or through appointed agents). Track shipment status and proactively resolve issues to ensure on-time delivery for projects and spare parts. Maintain accurate customs and shipping records (5-year retention) in accordance with Singapore Customs regulations. Ensure adherence to Incoterms, import/export controls, and Damon’s compliance policies. 2. Human Resources & Payroll Administration Coordinate with HQ HR team on personnel matters and reporting. Assist with monthly payroll processing, CPF, IRAS submissions, and other statutory filings via government portals. Manage employee welfare and general HR administrative tasks. 3. Finance Liaise with HQ Finance team on GST submissions, import/export permits, and vendor payments. Support basic bookkeeping and document tracking for local transactions. 4. General Office & Administrative Support Oversee general office administration and supplies management. Coordinate business travel, meetings, and visitor logistics. Provide administrative support and ensure smooth daily office operations. Perform other duties as assigned. Qualifications Diploma or higher in Supply Chain, Logistics, International Trade, or Business Administration (or related field). Minimum 2 years of experience in logistics coordination, including TradeNet or customs documentation. Prior experience handling HR, payroll, CPF, IRAS, or MOM submissions preferred. Proficiency in English is required; Mandarin proficiency is highly preferred for frequent communication with HQ in China. Experience in multinational environments coordinating with overseas offices is an advantage. Preferred Attributes Highly organized, detail-oriented, and able to work independently.
