Key Responsibilities:

Administrative Support Specialist
  • Provide comprehensive administrative support to the MD and Directors, ensuring seamless day-to-day operations and efficient management of administrative tasks.
    • Manage complex diaries, scheduling meetings, conference calls, and video conferences both internally and externally.
    • Coordinate travel arrangements, complete expense claims, and maintain accurate records.
    • Develop and implement effective filing systems, ensuring easy access to documents and information.
    • Assist in the preparation and printing of materials for meetings and events.
Office Manager and Coordinator
  • Oversee the smooth operation of the office, ensuring compliance with company policies, practices, and procedures, as well as local government laws and regulations.
  • Interface effectively with various departments, including Administration, Business Continuity Plan, Finance, IT, and Secretariat.
  • Supervise and coordinate local administration services, including cleaning and courier services.
  • Manage procurement services, liaising with local suppliers to ensure the purchasing and inventory control of office supplies, equipment, and refreshments.
  • Assist with onboarding and offboarding employees, campus recruiting events, interview scheduling, and applicant correspondence.
Qualifications/Requirements:
  • At least 10-12 years of experience providing full secretarial support or office managerial capacity.
  • Advanced MS Office skills, including Word, MS Outlook, Excel, and PowerPoint.
  • Minimum A level or Poly or secretarial/office manager qualifications.
  • Proven team player with a proactive style, taking initiative and working without supervision.
  • Excellent communication skills at all levels.
