Service Appointment Coordinator Job Description

We are seeking a highly organized and proactive individual to join our team in the role of Service Appointment Coordinator. As a key member of our organization, you will be responsible for planning, scheduling, and coordinating service appointments for our taxi fleet.

Key Responsibilities:
  • Partner with front desk receptionists to coordinate and schedule regular servicing appointments for the taxi fleet.
  • Liaise with drivers, workshop teams, and service advisors to ensure appointments are properly arranged.
  • Monitor vehicle servicing schedules and send timely reminders to ensure compliance with servicing intervals and regulatory inspections.
  • Maintain accurate records of appointments and service history using internal systems or Excel.
  • Track upcoming due dates for vehicle servicing, road tax, and inspections, and proactively arrange bookings.
  • Manage appointment calendars and ensure efficient workshop capacity planning.
  • Follow up on no-shows or missed appointments and reschedule as required.
  • Handle taxi partners inquiries and provide updates on appointment schedules.
  • Assist in generating service performance and fleet maintenance reports when required.

Requirements:

  • Prior experience in automotive workshop coordination, fleet maintenance, or customer service is an advantage.
  • Strong communication and interpersonal skills.
  • Good organizational and multitasking abilities.
  • Proficient in Microsoft Excel, Outlook, and scheduling systems.
  • Able to work independently and as part of a team in a fast-paced environment.
