Event Venue Coordinator Job Description

About the Role:

We are seeking a highly organized and customer-focused Event Venue Coordinator to oversee all aspects of venue operations, event coordination, and client management.

This role requires exceptional communication skills, strong relationship-building abilities, and experience in venue management. As a key member of our team, you will be responsible for ensuring seamless event experiences for clients while maintaining high standards of venue maintenance and service delivery.

Key Responsibilities:

  • Venue Management:

    • Oversight of comprehensive venue booking systems and calendar management;
    • Implementation and maintenance of detailed documentation procedures for all venue bookings;
    • Conducting site tours and presentations for potential clients;
    • Ensuring venues are properly prepared, maintained, and restored between events;
    • Providing on-site or near-site support during events to address immediate needs.
  • Client Relations:

    • Serving as primary point of contact for venue inquiries and bookings;
    • Building and maintaining relationships with clients throughout the booking process;
    • Responding promptly to all client requests, feedback, and concerns;
    • Coordinating pre-event meetings and post-event evaluations;
    • Following up with prospective clients and scheduling consultations.
  • Operational Management:

    • Liasing with contractors for facilities maintenance, cleaning, landscaping, and other services;
    • Coordinating and leading monthly management meetings with key stakeholders;
    • Monitoring venue conditions and reporting maintenance issues promptly;
    • Preparing regular reports on venue usage, issues, and revenue performance.

Requirements:

  • Experience in a customer-facing role, preferably in the events or hospitality industry is an asset;
  • Excellent communication and interpersonal skills, with the ability to interact with customers from diverse backgrounds;
  • A passion for providing exceptional customer service and a commitment to exceeding customer expectations.
