Senior Library Operations Manager

Key Roles and Responsibilities:

The successful candidate will be responsible for overseeing the daily operations of our libraries. Key responsibilities include providing efficient Service Desk duties, performing collection maintenance activities, operating the library management system, and analyzing current processes to identify opportunities for improvement.

Service Desk Duties

  • Provide high-quality service to customers in accordance with our service excellence standards.
  • Deliver after-hours services during designated weekday and weekend opening hours.

Collection Maintenance

  • Perform regular collection maintenance activities to ensure optimal resources accessibility.

Library Management System

  • Operate the library management system efficiently and effectively.

Process Improvement

  • Analyze current library processes to identify areas for improvement.

Training and Development

  • Train, guide and lead a pool of Student Assistants on delivering library operational tasks and procedures.

Safety and Security

  • Monitor and maintain user spaces in the libraries in terms of cleanliness and condition.
  • Troubleshoot and maintain library equipment.

Administrative Tasks

  • Contribute to service or space transformation initiatives or projects.
  • Perform administrative tasks such as rostering of staff and Student Assistants, budget tracking, and procurement.
  • Provide relevant data and reports from the library system to facilitate decision-making by management.

Qualifications and Requirements:

  • A bachelor's degree or diploma (in any field).
  • Minimum of 3 years' experience in customer service-related industry.
  • Proficient in MS Office Word, Excel and PowerPoint.
  • Experience in operations, customer service or communications role in academic libraries or large libraries.
  • Experience in executing innovation-driven or process improvements projects.
  • Experience in developing communication plans or stakeholder management in education industry.

Working Hours:

  • Mondays to Thursdays: 8:30 am to 5:45 pm
  • Friday: 8:30 am to 5:15 pm
  • Deliver after-hours services during weekday and weekend opening hours.
