Key Responsibilities:- Property Management: Oversee daily operations of the condominium, including common areas, amenities, and facilities, ensuring they are well-maintained and in pristine condition.
- Resident Relations: Act as the primary point of contact for residents, addressing inquiries, complaints, and requests in a timely and professional manner. Foster a positive living environment for all residents.
- Facilities Maintenance: Coordinate with contractors, vendors, and service providers to ensure routine and preventive maintenance of building systems (e.g., plumbing, electrical, HVAC), swimming pools, gyms, and other amenities.
- Security and Safety: Ensure that the property adheres to all safety regulations and that security systems and protocols are effectively implemented. Assist with emergency response planning and evacuation procedures if necessary.
- Budgeting and Cost Control: Assist in monitoring the operational budget for property maintenance and services, identifying areas where cost-efficiency can be improved without compromising service quality.
- Administrative Duties: Manage day-to-day administrative tasks such as preparing reports, managing facility bookings, handling vendor contracts, and ensuring compliance with condominium rules and regulations.
- Event Coordination: Plan and organize community events for residents, such as holiday celebrations, wellness activities, and other social gatherings to enhance the sense of community within the condominium.
- Vendor and Contractor Management: Liaise with external service providers for landscaping, pest control, cleaning, and other essential services, ensuring contractual obligations are met.
- Inspection and Compliance: Conduct regular inspections of the property to ensure high standards of cleanliness, safety, and maintenance. Ensure compliance with local building regulations and by-laws.
- Conflict Resolution: Address and mediate conflicts among residents, ensuring disputes are resolved amicably and in accordance with condominium policies.
- Minimum Qualification: Diploma in Facilities Management, Property Management, or a related field.
- Experience: At least 2-3 years of experience in property management, preferably in a luxury residential setting.
- Knowledge: Strong understanding of condominium management, including familiarity with the Building Maintenance and Strata Management Act (BMSMA).
- Interpersonal Skills: Excellent interpersonal and communication skills, with the ability to work effectively with residents, contractors, and other stakeholders.
- Organizational Skills: Strong organizational skills and attention to detail, with the ability to handle multiple tasks simultaneously.
- Technical Skills: Proficiency in using property management software and Microsoft Office Suite.
- Problem-Solving Skills: Problem-solving abilities and a calm demeanor when handling complex situations or resident complaints.
- Knowledge of Building Systems: Knowledge of building systems (e.g., HVAC, electrical, plumbing) and preventive maintenance practices.
- Budgeting and Cost Control: Experience in managing budgets and controlling operational costs is a plus.
- Fire Safety Manager (FSM) Certification: Fire Safety Manager (FSM) certification or willingness to obtain certification is an advantage.
