Job Title: Senior Administrative Coordinator

We are seeking an experienced and organized administrative professional to provide support to our Legal, Compliance & Company Secretarial (LCCS) Team in Singapore.

The ideal candidate will have a minimum Diploma in a relevant field of study, experience working with a legal or company secretarial team, and excellent MS Powerpoint/Excel/Word knowledge.

Responsibilities:
  • Schedule meetings and events for the LCCS Team, including arranging meeting rooms, video calls, and travel arrangements.
  • Process invoices and reimbursement claims related to Team events.
  • Coordinate official Team lunches and arrange travel arrangements for General Counsel and LCCS Team members when centralized through GC.
  • Attend to enquiries from internal and external parties, assist, and redirect them according to their requirements.
  • Print and submit documents for authorized signatures.
  • Set up a filing system for original Legal documents.
  • Coordinate meetings for General Counsel, including scheduling, booking meeting rooms, room setup, video call setup, etc.
  • Process invoices and reimbursement claims for General Counsel/Singapore LCCS.
  • Submit supporting documents monthly for individual & team Corporate Card.
  • Scan and bind documents when required.
  • Arrange courier services when necessary.
Additional Responsibilities:
  • Support the Global LCCS Senior Leadership Team (SLT) by working with the London-based Executive Assistant to tag-team across time zones on all SLT coordination, meetings, and initiatives.
  • Help the London-Based Executive Assistant during peak times with any additional support needed for Board meetings.
  • Assist the SLT with travel plans, help schedule and plan global Teams calls, prepare agendas, coordinate travel/venue bookings, and maintain documents and files in the SLT SharePoint site.
  • Manage the LCCS SharePoint site, ensuring information is up-to-date and presented in a creative way.
  • Contribute to creating articles to publish about LLC on Workplace.
Requirements:
  • Minimum Diploma in a relevant field of study.
  • Experience working with a legal or company secretarial team preferred.
  • Ability to understand corporate processes and systems.
  • Highly adaptable mindset.
  • Willingness to assist others.
  • Excellent MS Powerpoint/Excel/Word knowledge.
  • Great attention to detail.
  • Good follow-up skills.
