About the Role
We are seeking a highly organized and detail-oriented Operations Support professional to join our team. As an Operations Support specialist, you will provide administrative support to senior management, ensuring seamless office operations and timely submission of reports.
Key Responsibilities
- Support senior management in planning, organizing and managing operational support functions.
- Coordinate and consolidate management reports for timely submission to stakeholders.
- Act as a liaison between senior management and internal/external stakeholders for timely communication and task completion.
- Build relationships with external stakeholders to identify opportunities for business collaborations, co-marketing and PR leverage.
- Manage end-to-end travel arrangements for senior management and other employees, including flight bookings, hotel reservations, transport coordination and expense management.
- Prepare and submit expense claims, travel claims and reports for senior management.
- Provide logistical support for visitors, including transport coordination and airport visitor pass applications.
- Ensure seamless office operations by supporting business units on operational needs.
- Perform general office administrative duties, including attending to walk-ins, courier arrangement, stationery and pantry supplies management, office equipment maintenance and cleanliness.
- Purchase and allocate supplies and equipment while maintaining a clear inventory.
- Oversee the maintenance and repair of office facilities to ensure they remain safe, secure and well-maintained.
- Initiate and implement process/productivity enhancements where possible.
- Lead and coordinate general and administrative tasks.
- Undertake additional responsibilities or projects as assigned.
Requirements
- Diploma in Business Administration, Management or related field.
- Minimum 2-3 years of relevant experience in supporting senior management, administrative operations or office coordination.
- Exposure to regional coordination is an added advantage.
- Good organizational and multitasking abilities with strong attention to detail.
- High level of discretion in managing sensitive and confidential information.
- Strong interpersonal and communication skills with high professionalism.
- Proactive and able to work independently with minimal supervision.
- Flexible and adaptable to changing needs and priorities.
