Mailroom Assistant Job Description

Our company is seeking a highly organized and reliable individual to fill the role of Mailroom Assistant. This position involves receiving, sorting, and delivering incoming mail, parcels, and courier items, as well as maintaining a clean and organized mailroom.

Key Responsibilities:
  • Mail Handling & Distribution: Receive, sort, and deliver incoming mail, parcels, and courier items. Prepare, label, and dispatch outgoing mail and courier deliveries. Maintain a clean and organized mailroom.
  • Record Keeping & Tracking: Log all incoming/outgoing packages with recipient information and delivery status. Track urgent/special deliveries for timely follow-up.
  • Liaison & Coordination: Coordinate with courier/postal services for collections and deliveries. Notify staff of package arrivals or delays.
  • General Administration & Support: Monitor and restock mailroom supplies. Support basic office tasks like filing, photocopying, and internal document delivery. Ensure compliance with confidentiality and security protocols.

Requirements:

  • Education: Minimum GCE 'N' or 'O' Level or equivalent.
  • Experience: Prior mailroom/logistics/admin support experience is a bonus, but not required.
  • Skills & Attributes: Good organizational skills and attention to detail. Able to lift and move packages (up to 15–20kg). Basic computer literacy (email, spreadsheets, tracking systems). Punctual, reliable, and able to work independently.
