Job Title: Executive Office Coordinator
About the RoleAs an Executive Office Coordinator, you will provide administrative support to our office manager and senior leadership team.
- Provide comprehensive administrative assistance including scanning, filing, copying, faxing, binding, and other documentation requirements.
- Organize and maintain electronic and physical files, ensuring accuracy and up-to-date information.
- Coordinate with vendors for office supplies, equipment, and services.
- Liaise with contractors for office renovations and arrange necessary permits.
- Work closely with building management and vendors on repair and maintenance work.
- Maintain inventory of stationery and track vendor schedules.
- Communicate effectively with internal teams, including HR, Finance, Marketing, and IT.
- Provide coverage for reception duties, including front-of-house responsibilities, courier services, and pantry supplies.
- Assist with organizing meetings, conferences, and networking events.
- Collaborate with colleagues to maintain a clean and organized workspace.
- Arrange staff parking and assist with new hire onboarding procedures.
- Support visitors and external staff with building registration and provide general assistance.
- Act as Fire Safety Marshall and perform clerical tasks as required.
We are seeking an individual with excellent organizational skills, attention to detail, and effective communication abilities. Candidates should possess basic computer skills and proficiency in Microsoft Office applications.
