
Front Office Professional

We are seeking a highly skilled and organized front office professional to provide exceptional support to our organization.
- Front Desk & Communication Management: Effectively manage the switchboard, handle voicemails, update internal contact lists, and ensure accurate closure messages.
- Visitor Support: Welcome and assist visitors, prepare meeting rooms, arrange refreshments, allocate desks for staff members, and coordinate travel/accommodation when required.
- Meetings & Facilities Coordination: Oversee conference room bookings, coordinate video conferencing setup with IT, maintain reception/meeting areas, ensure equipment and supplies are in order, and organize catering for events.
- Mail & Courier Services: Handle incoming/outgoing mail and courier services, reconcile invoices, and maintain accurate records for finance.
- Supply Chain Management: Manage pantry, stationery, and office supplies, liaise with vendors, process invoices, and maintain updated supplier contacts.
- Staff Absence & Coverage: Track and circulate staff absence information, update HR systems, arrange secretarial cover, and ensure proper recordkeeping.
- General Support: Maintain security card records, book taxis, replenish refreshments, provide reception coverage, and support the Business Manager with ad hoc tasks.
Requirements include excellent communication skills, interpersonal skills, administration experience, data entry proficiency, office administration expertise, MS Word proficiency, and customer service experience. The ideal candidate will possess strong organizational abilities, effective time management skills, and a proactive approach to problem-solving.
