Employee Relations and Facilities Coordinator

We are seeking a highly motivated and detail-oriented Human Resource Clerk to join our team at QUASAR MEDICAL (SINGAPORE) PTE. LTD. The successful candidate will be responsible for maintaining accurate employee records, processing employee requests, and managing work pass-related activities. Additionally, they will assist in organizing training programs, plan site recreational activities, and perform other administrative tasks as assigned by the HR Manager or supervisor.
Key Responsibilities:
- Maintain accurate and up-to-date employee records in both physical and digital formats.
- Process employee requests and provide relevant information, including employment letters as needed.
- Manage work pass-related activities such as applications, cancellations, renewals, six-monthly medical tests, MOM surveys, and security bond management.
- Provide timely support and assistance on HR matters to employees.
- Collaborate with the training department to organize and support various training programs.
- Assist in planning and executing site recreational activities to foster a positive work environment.
- Perform other tasks assigned by the HR Manager or supervisor as required.
Additional Administrative Tasks:
- Ensure an adequate inventory of office supplies and manage the ordering of stationery and birthday vouchers efficiently.
- Manage the coffee machine and ensure it is well-maintained.
- Arrange for food and transportation for visitors and events, as well as make ad-hoc purchases when necessary.
- Maintain the cleanliness and organization of worker lockers.
- Schedule meetings and send invitations to attendees in a timely manner.
- Manage facility access and visitor management systems effectively.
- Coordinate business travel arrangements, including transportation, accommodation, and ticketing.
- Prepare access cards and manage name cards as required.
- Perform other tasks assigned by the site leader or supervisor.
