The role of the Document Control Specialist is vital to the smooth operation of document management within an organization. The key responsibilities include:
Key Responsibilities- Receiving, verifying, and acknowledging receipt of documents in accordance with agreed document control procedures.
- Registering drawings received from clients and other stakeholders.
- Issuing documents to classification societies and owners for approval.
- Issuing documents with transmittal to operations and other departments.
- Filing drawings and documents in a secure and organized manner.
- Submission of design acceptance requests via LTA EPIC System (Online DAR Portal) in accordance with project document formats and requirements.
- Managing and controlling all interface documentation and preparing updates and responding to client requests for information about project status.
- Creating, issuing, and progressing documents transmittal to clients, sub-contractors, and consultants.
- Maintaining proper filing systems according to ISO standards and implementing project document management systems and processes in accordance with company policies.
- Ensuring proper document classifications, sorting, filing, and archiving, and managing them in strict confidentiality.
- Performing file backups to ensure proper storage and archiving of project records.
- At least 5 years of experience in LTA projects.
- Familiarity with project management principles.
- Hands-on experience with MS Office, MS Excel, and Power Point.
- Knowledge of document management systems.
- Proficient typing and editing skills, data organization skills.
- Brief understanding of construction documents.
