Student Enrolment Advisor Role

This is a challenging and rewarding role that requires a high level of organisational skills, time-management, proficiency in student management systems, excellent communication and interpersonal skills, attention to detail, accuracy in enrolment record-keeping and data management, ability to work collaboratively within a multidisciplinary environment.

Key Responsibilities:
  • Course Planning and Management:
    • Coordinate annual unit planning and maintain the course matrix for academic planning and delivery.
    • Evaluate unit offerings and ensure timely updates to relevant stakeholders after approval from senior managers.
    • Manage course transitions due to revisions made to courses.
    • Arrange software or programs required for teaching and learning purposes for academic staff and students.
  • Study Plan Creation and Maintenance:
    • Develop and update study plans for current and new students, ensuring alignment with course requirements and guidelines.
    • Review and adjust study plans to reflect approved unit availabilities, prerequisite requirements, and overall progression pathways.
    • Communicate updated study plans and changes to students and relevant stakeholders via approved communication channels in a timely manner.
  • Enrolment and Registration Management:
    • Ensure smooth class registration and enrolment processes for students.
    • Oversee and manage class registration and enrolment processes, including monitoring of failed prerequisites or units and facilitating re-enrolment as necessary.
    • Enter or capture all students' enrolments in the student management systems by the last day of enrolment based on the approved academic calendar.
    • Set up the student management systems appropriately for enrolment and class registration.
  • Student Progression and Retention:
    • Manage progression students through briefing sessions and creating applications on student portals.
    • Monitor student retention through proactive engagement, support mechanisms, and accurate tracking of enrolment status.
    • Develop strategies to enhance retention and intervene timely for at-risk students, working with relevant teams.
  • Administration and Reporting:
    • Provide timely reports and updates on enrolment processes, retention statistics, and course variations to relevant stakeholders.
    • Maintain accurate and comprehensive records of all enrolment and registration activities.

Required Skills and Qualifications:

  • Diploma or Bachelor's degree or equivalent qualification
  • Proven experience in student enrolment, registration, or related administrative roles
  • Familiarity with student management systems
