Job Overview

To ensure the smooth operation of the hotel, we are seeking an experienced Operations Coordinator to join our Rooms Division team.

The successful candidate will be responsible for coordinating among Rooms Division – Housekeeping, Front Office and Engineering teams, ensuring seamless day-to-day operations.

This role has key responsibilities for the Rooms Division, reporting to the Executive Housekeeper in supporting the Housekeeping, Front Office and Engineering team respectively in our leading select service hotel.

Key Responsibilities
  • To run morning reports, including Housekeeping Room Status Report, VIP Report, Out-of-Order Report, Arrivals, and Housekeeper's report
  • Prepares daily room assignments (maid's report) for the morning shift room attendant
  • Reviews message books for special requests or instructions
  • Key work order for Engineering to follow up with maintenance jobs
  • Informs Assistant Manager or security of any emergencies brought to Housekeeping's attention
  • Manages the room attendant audit portal
  • Updates registration cards in Front Office
  • Updates meal lists in Front Office
  • Coordinates with Kitchen to prepare meals for PSHN
  • Assists Duty Managers to prepare keys for guest arrival
  • Follows up with guest requests by coordinating with both Engineering and Housekeeping departments
  • Issues keys according to floor assignments
  • Answers phone and logs all messages
  • Responds to any requests from guests
  • Informs supervisors of any special guest needs
  • Coordinates make-up or rush rooms with Front Desk
  • Prepares and monitors room status reports for possible discrepancies
  • Transmits messages from guests to Housekeeping personnel, laundry department, F& B-room service, front office and engineering
  • Ensures all calls pertaining to the next day's operation, such as personnel calling in sick, are logged in message books and kept Assistant Housekeeper and Executive Housekeeper informed
Requirements
  • Minimum Diploma in Business or Secretarial studies
  • 1 year's related experience in secretarial experience, or an equivalent combination of education and experience
  • Great communication skills
  • A positive and keen to learn attitude
  • Must be proficient in written and spoken English with good communication skills
