At CVista HR Consulting Pte Ltd, we are seeking a highly skilled and experienced Executive Support Professional to join our team. As an integral part of our International Business Office (IBO), this role will provide administrative support to our Executive Assistant, ensuring seamless day-to-day operations.

About the Role:

This is a dynamic position that requires exceptional organizational skills, attention to detail, and proficiency in coordinating travel arrangements, booking flights, accommodation, and transportation. You will be responsible for supporting the application process for Visas for the IBO team, liaising with travel agencies, embassies, and other group companies to confirm Visa requirements.

In addition, you will assist in managing the IBO team's calendars, organizing meetings and events, and preparing travel requisitions and submitting claims via our system. Your role will also involve maintaining records, files, and documents related to IBO administration, drafting and reviewing memos, letters, and correspondences, and ensuring confidentiality and accuracy in handling sensitive information.

Key Responsibilities:

  • Coordinate travel arrangements, including flights, accommodation, and transportation.
  • Support the application process for Visas for the IBO team.
  • Liaise with travel agencies, embassies, and other group companies to confirm Visa requirements.
  • Manage the IBO team's calendars and organize meetings and events.
  • Prepare travel requisitions and submit claims via our system.
  • Maintain records, files, and documents related to IBO administration.
  • Draft and review memos, letters, and correspondences.
  • E nsure confidentiality and accuracy in handling sensitive information.

Requirements:

  • Only open for Singaporeans.
  • Minimum Diploma/Bachelor's degree in business administration, Office Management, or equivalent.
  • At least 3-5 years' Personal Assistant experience, including coordination of meetings, travel arrangement, accommodation, etc.
  • Comfortable working in a fast-paced environment and supporting work on and off after office hours.
  • Good communication and interpersonal skills.
  • High level of discretion and confidentiality.
