Procurement Specialist, Facilities Manager, Contract Administrator

Our organization seeks a highly skilled and motivated individual to excel in procurement, contract management, office administration, facility upkeep, and IT support.

Key Responsibilities:
  • Maintain a deep understanding of procurement policies to ensure compliance with proper procedures.
  • Execute timely procurement activities and submissions to achieve optimal Procure-to-Pay (P2P) results.
  • Develop tender documents, contract drafts, and purchase orders according to procurement policies and guidelines.
  • Support sourcing efforts through market research and supplier engagement with stakeholders.
  • Guide evaluation committees for tender submissions and generate recommendation reports.
  • Collaborate with stakeholders to determine the best approach to resolve procurement needs.
  • Provide guidance and assistance to department associates.
Office Administration Tasks:
  • Monitor and support general office supplies and services.
  • Prepare reports and minutes for the department and meetings.
  • Issue staff onboarding equipment and items.
  • Manage business relationships with suppliers.
Facilities Management Responsibilities:
  • Collaborate and coordinate with subcontracted FM teams to fulfill facility-related purchases and requirements.
  • Review FM team's service report and completed works.
  • Conduct quarterly meetings with FM teams to track progress and scope.
Information Technology Support:
  • Provide administrative support for IT and communications infrastructure and contracted IT suppliers.
  • Coordinate related works with suppliers.
Additional Responsibilities:
  • Contribute to process improvements and team projects.
  • Perform other duties assigned by the Reporting Officer.
Requirements & Skills:
  • Bachelor's Degree in Supply Chain Management or relevant field.
  • At least 5 years of experience in procurement, or equivalent without a degree.
  • Minimally 3 years of experience in a similar capacity.
  • Experience working in public and private sectors with a good understanding of procurement processes is an advantage.
  • Strong English communication skills, especially in formal writing.
  • High level of meticulousness and proficiency in contract drafting, IT knowledge, and facilities management.
