Job Overview
Working hours are Monday to Thursday from 8:30 a.m. to 6 p.m., and Friday from 8:30 a.m. to 5:30 p.m., with alternate Saturdays from 8:30 a.m. to 12:30 p.m.

Key Objectives
1) Deliver exceptional customer service to ensure client satisfaction.
2) Guarantee timely delivery of vehicles in optimal condition.
3) Collect and organize all necessary claims documentation and supporting evidence.
4) Expedite approval processes for claims and repairs with insurance providers or clients.
5) Provide accurate estimates for repair scope, costs, and timelines.
6) Coordinate with Body/Paint Shop to ensure availability of all required parts for assessments.
7) Communicate necessary repairs and services to the Body/Paint Shop effectively.

Responsibilities
Daily Tasks
1) Address and document customer service requests efficiently.
2) Inform clients about repair scope, duration, and costs as needed.
3) Secure all required documentation and authorizations prior to and following repair work or claims.
4) Coordinate with leasing companies to arrange replacement vehicles for clients when necessary.

5) For insurance claims:
a. Compile and organize all necessary information and documents for claims submission.
b. Assist clients in updating accident and claims reports.
c. Ensure timely electronic filing of accident reports for clients.
d. Advise clients on liability matters using the BOLA guide and claims procedures.
e. Follow up with insurers regarding liability decisions and escalate cases if necessary.
f. Inform clients about applicable Excess/Deductibles.
g. Collaborate with Estimators on assessing vehicle damage and confirming repair scope and cost estimates.
h. Ensure comprehensive before-and-after photos are taken for records and claims.
i. Finalize and document the scope of claims and recovery amounts.
j. Prepare all necessary documentation for invoicing and claims submission.
6) Create Repair Orders and liaise with the Body/Paint Shop Supervisor regarding work scope and delivery timelines.
7) Safeguard and return clients' belongings left in vehicles in their original condition.
8) Work with parts staff to reserve or order necessary components.
9) Keep clients updated on claims, repairs, and delivery statuses.
10) Conduct final inspections before delivering vehicles to clients, ensuring feedback is collected and rework is arranged if needed.
11) Review vehicle condition with clients and explain the work performed before handing over the vehicle.

General Duties
12) Address customer complaints and escalate to higher authorities when necessary.
13) Maintain strong relationships and communication with Body/Paint Shop, inter-company staff, and insurers.
14) Organize claims documentation for easy tracking and ensure coverage by colleagues when required.
15) Keep the assigned work area clean and orderly.
16) Collaborate effectively with team members and assist colleagues as needed.
17) Support other company initiatives as directed while adhering to the authority of the position.
