Job Title: Administrative Assistant - Central Office

About the Role:

This is a key position in our administrative team, responsible for managing data related to BME and M&E Equipment Inventory system.

  • Update and maintain accurate records of BME and M&E equipment inventory
  • Manage physical and electronic documents to ensure seamless retrieval of BEMS information
  • Coordinate with vendors and users for scheduling of preventive maintenance and corrective maintenance for BME equipment
  • Oversee Ariba procurement system for both BME and M&E
  • Procure office supplies as needed to maintain a smooth departmental operation
  • Provide general administrative support as required

Key Responsibilities:

  1. Data Management: Ensure timely and accurate updates to the BME and M&E equipment inventory system
  2. Documentation: Maintain organized physical and electronic files to facilitate easy access to BEMS information
  3. Vendor Management: Coordinate with vendors to schedule preventive maintenance and corrective maintenance for BME equipment
  4. Procurement: Oversee the use of Ariba procurement system for both BME and M&E
  5. Supplies: Order office supplies as needed to maintain a well-stocked department
  6. Support: Provide general administrative support to the team
Requirements:

To be successful in this role, you will require:

  • A minimum diploma in business/facilities/engineering
  • Experience in using Excel

Skills and Qualifications:

You should possess excellent organizational and communication skills, with the ability to work independently and as part of a team. Attention to detail is also essential.
