**Job Summary:** We are seeking a highly skilled Fund Operations Specialist to join our team. The successful candidate will be responsible for ensuring the smooth day-to-day operations of our funds, including fund accounting and reporting, tax compliance, cash management, and fund administration.
Key Responsibilities:- Fund Accounting and Reporting: Perform review and oversight of monthly accounts of Special Purpose Vehicles (SPVs), quarterly consolidated accounts of the funds, quarterly investor's capital account statement, and quarterly fund's performance calculation to ensure accuracy and timeliness of reporting deliverables.
- Management Fee Calculations: Perform management fee calculations.
- Annual Audit Process: Responsible for the annual audit process, acting as a point of escalation for complex issues to the Fund Controller to ensure accurate and timely delivery of audited financial statements to investors.
- Service Provider Oversight: Responsible for effective oversight of key service providers, including monitoring their performance, addressing queries raised, and ensuring smooth day-to-day delivery of work scope.
- Internal Reporting: Responsible for any internal reporting requirements, such as Asset Under Management (AUM), debt information, and other relevant data.
- SPV Tax Compliance: Manage and monitor the tax compliance of SPVs.
- Tax Liaison: Liaise with tax agents and internal tax departments on FATCA/CRS matters, entity classification for U.S. tax purposes, investor's tax returns, and other relevant tax-related matters.
- Loan Covenant Compliance: Manage and monitor compliance with loan covenants of property holding companies, including preparation of a forecast of financial covenants on a rolling four-quarter basis.
- Revolving Credit Facility: Responsible for drawdown and repayment of the fund's revolving credit facility and managing compliance with information undertakings.
- Distribution and Liquidity Forecast: Responsible for distribution and liquidity forecast of SPVs, including conducting solvency test calculations on each dividend declaration.
- Capital Call and Distribution Process: Support the Fund Controller in overseeing the capital call and distribution process.
- Invoice Approval and Payment Process: Manage the invoice approval and payment process in coordination with service providers to ensure authorization is in compliance with the relevant Delegation of Authority matrix, timely payment, and mitigation of payment fraud risk.
- Bank Account Management: Coordinate with service providers for opening and closing of bank accounts, change in bank signatories, and KYC requirements for banks/FX counterparties.
- Bank Account Recertification: Responsible for semi-annually/annually recertifying bank accounts and bank signatories and maintaining an inventory list of bank accounts.
- Annual Budgeting Process: Responsible for the annual budgeting process of the fund and SPVs to ensure the approved budget is implemented in a timely manner.
- Cash Flow Forecast: Perform review of the quarterly cash flow forecast of SPVs prepared by service providers, monitoring liquidity, and acting as a point of escalation for liquidity shortfalls to the Fund Controller.
- Corporate Secretarial Matters: Work in coordination with service providers to handle all SPVs' corporate secretarial matters, as well as opening and closing of bank accounts for SPVs.
- Compliance Monitoring: Ensure ongoing compliance with internal compliance policies, all applicable legislative and regulatory requirements, including monitoring compliance in accordance with the terms set out in fund documents.
- Business Information Management: Maintain and update business information of SPVs in the in-house system in a timely manner.
- Liquidation Process: Manage the liquidation process.
- Project Participation: Participate in projects involving system implementation, internal control, work processes, and efficiency.
- Closing Deliverables: Support the Fund Controller in handling closing deliverables, establishment of entities, and any post-closing matters for acquisition and disposition of fund investments.
- Ad-Hoc Reports: Support the Fund Controller with any ad-hoc reports as and when assigned.
**Qualifications:** Qualified Accountant or possess relevant recognized qualification such as ACCA, CPA, with minimum 8 to 12 years of fund operation experience in real estate private equity industry or asset management industry, with at least 3 years in supervising outsourced functions like fund accounting services, transfer agency services, corporate secretarial services, and other relevant services.
