We are currently seeking a detail-oriented and organized professional to support our client's Audio-Visual team in the planning and execution of AV system integration and upgrade projects.

In this role, you will play a critical part in tracking project progress, coordinating with vendors, preparing project documentation, and providing consistent status updates through our internal task management system.

Your ability to manage details and support cross-functional communication will be essential to the success of multiple simultaneous projects.

This role is ideal for a self-starter who thrives in fast-paced environments and is looking to build experience in a client-facing coordination role.

Responsibilities
  • Work closely with the AV Engineer, who serves as the central point of contact for the project.
  • Provide regular visibility and updates to the AV Engineer regarding stakeholder communications, project status, risks, and issues.
  • Prepare and circulate detailed project reports, including status updates, issue logs, risk summaries, and financial reports, ensuring the AV Builds Engineer is kept informed.
  • Create, submit, and track Purchase Order requests on behalf of the AV Team.
  • Track, manage, and report on project finances, including budget forecasting, cost tracking, and variance analysis.
  • Accurately maintain and manage real-time inventory records across AV projects and multiple storage locations.
  • Maintain project schedules, budgets, and resource allocations to ensure timely delivery.
  • Coordinate effectively with cross-functional teams and external vendors.
  • Facilitate stakeholder communication through clear reporting and timely updates.
  • Manage and maintain project folders/documentation ensuring all records are up to date.
Qualifications
  • 3+ years of coordination experience in technical environments.
  • Proficiency with Microsoft Suite and Google Suite.
  • Strong communication, organizational, and problem-solving skills.
  • 3 to 5 years Audio Visual experience.
