We are seeking a detail-oriented Senior Executive / Executive to oversee operations administration tasks and ensure efficient management of various operational aspects within general cargo operation department.

The Job

1. Overtime and Pay Management:

  • Collaborate with team leads to accurately record and update pay-related information (e.g., overtime, shift allowances, training allowances, off-in-lieu) in the e-HR system.
  • Ensure that overtime is approved promptly by section heads and department heads within specified timelines, facilitating smooth payroll processing and compliance with organizational policies.

2. Operation Billings

  • Ensure accurate billing for rental of steel spreaders and handling additional vessel requests.
  • Raise any other billing matters, such as credit notes and supplementary bills

3. Water Supply Management

  • Ensure the timely and accurate closure of water supply billings.
  • Collaborate with relevant authorities or service providers to schedule and coordinate water meter servicing and replacements as needed.

4. Vehicle Management:

  • Oversee completion and filing of vehicle checklists.
  • Ensure proper maintenance and readiness of company vehicles for 24-hour operations.
  • Monitor fuel usage and ensure correct fuel token usage corresponding to vehicle numbers.
  • Maintain accurate fuel records and reconcile with supplier invoices.
  • Schedule regular servicing of vehicles and manage repairs promptly.
  • Ensure timely renewal of vehicle road tax and follow up on contract extensions with relevant departments.

5. Assets and Inventory Management:

  • Manage replenishment of stocks and stationery items essential for general operation department.
  • Ensure all office equipment, pedestals, cupboards, lockers, and workstations are well-maintained and available for use.
  • Account for and properly issue consumable items to general cargo operation staff.
  • Maintain accurate inventory records and ensure items are properly accounted for during loan applications.

6. Other Responsibilities:

  • Assist in implementing new projects to enhance operational efficiency.
  • Support supervisors in improving administrative processes within the general cargo operation department.

Job Requirements:

  • Diploma or degree in Business Administration or related field preferred.
  • Candidates with no experience are welcome to apply
  • Previous experience in operations administration or similar roles will be advantage
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft software
  • Excellent communication and interpersonal skills.
