Contract period : Immediate – 12months
Working Hours
Mon – Thurs : 8:30am – 6:00pm
Friday : 8:30am – 5:30pm
(inclusive of 1-hour lunch break)
Job scope
1. General HR administrative duties
Perform general HR administrative duties which include, but are not limited to the following:
• Manage physical Pfiles for easy retrieval.
• Maintain incoming electronic personal documents in a Portable Storage Media.
• Updating tracking lists.
• Schedule manpower deployments for career fairs and HTXpress.
• Assist in facilitating the HTX Student Attachment Programme and Learning Journeys.
2. Internship
• Follow-up with selected internship applicants on submission of additional documents/information and confirm their preferred internship period.
• Send Internship Agreements to applicants and confirm their internship.
• Submit onboarding requests via MS Lists (including amendments, if any).
• Submit visitor clearance for incoming interns' 1st day reporting.
• Raise Service Requests to VITAL for the creation of new interns' records in HR and Payroll System, and for shortening/extension of internship.
• Send offboarding list to HTX-PASS team and offboarding instructions to interns and their supervisor.
• Track the issuance of interns' testimonial and assessment by supervisors.
3. Talent Acquisition (TA):
• Assist in recruitment (including campus recruitments).
• Assist in scheduling interviews of new hires.
• Assist with the onboarding process, including coordinating pre-employment checks and handling other administrative tasks.
• Raise Service Requests to VITAL for the creation of new hires' records in HR and Payroll System.
• Submit onboarding requests via MS Lists (including amendments, if any).
• Submit visitor clearance for new hires' 1st day reporting.
4. Outreach Activities
• Pack and distribute collaterals to TAs and HRBPs' deployment.
• Assist during outreach activities, e.g. manning the HTX booth.
• Ensure sufficient stock of collaterals.
5. Attachment Programme and Learning Journeys
• Submit visitor clearance for participants.
• Assist in carrying out/facilitating the programme/activities.
6. Update databases/tracking lists.
7. Provide any other support to the TAs and HRBPs as assigned.
Requirements
• Diploma holder, preferably in HR. Non-diploma holders with relevant HR experience may be considered as well. Those with a HR-related certification would be an advantage. Salary ranges from $2,853 to $3,780 depending on qualification and relevant working experience.
• At least 2 years of relevant experience in HR, preferably in government agencies.
• Meticulous and a fast learner.
• Good communication skills and time management.
• Proficient in Microsoft Word, Excel and Powerpoint.
• Proficient/Experience in RPA and data analytics software such as Microsoft Power BI and Tableau would be an advantage.
