Roles & Responsibilities

Job Details:

  • Work Hours : Mon – Thur: 8.30am to 5.45pm , Fri: 8.30am to 5.15pm
  • Contract: Immediate to 31 Mar 2026

Job Responsibilities:

Administrative Management

  • Coordinate and maintain accurate records of student candidature matters, including milestone tracking,
    extensions, and program variations
  • Process and monitor student enrolment status, ensuring compliance with university policies and
    regulations
  • Maintain comprehensive documentation of all candidature processes and procedures
  • Generate regular reports on student progression and milestone completion

    Thesis Advisory Committee (TAC) Administration
  • Coordinate the establishment of TACs for new research students
  • Schedule and organise regular TAC meetings
  • Process TAC reports and follow up on recommendations
  • Maintain records of supervisor arrangements and any changes
  • Facilitate communication between students, supervisors, and committee members

    Qualifying Examination Management
  • Coordinate the scheduling of qualifying examinations
  • Liaise with faculty to arrange examination panels
  • Prepare and distribute relevant documentation to all parties
  • Process examination outcomes and maintain records
  • Follow up on any required revisions or resubmissions

    Thesis Milestone Management
  • Monitor and track student progress against key candidature milestones
  • Send timely reminders to students and supervisors regarding upcoming deadlines
  • Process milestone documentation and maintain records
  • Coordinate review panels for milestone presentations
  • Provide administrative support for confirmation of candidature processes

    Thesis Submission and Examination
  • Guide students through the thesis submission process
  • Verify formatting and submission requirements are met
  • Coordinate with examiners and process examination arrangements
  • Track examination progress and follow up on delayed responses
  • Process examination reports and coordinate revision requirements

    Student Support and Communication
  • Provide guidance to students regarding candidature procedures and requirements
  • Respond to inquiries about milestone processes and thesis submission
  • Maintain regular communication with students regarding their progression
  • Organise information sessions and workshops on candidature processes
  • Create and update guidance materials for students and supervisors

Job Requirements:

  • Possess a recognized Diploma in higher education, arts management, or a related field.
  • Proficient in MS Office Suite (Excel, Word, etc.), as well as collaboration tools such as Teams and Zoom.
  • A minimum of 1 year of administrative experience, preferably in an Institution of Higher Learning (IHL)
    environment.
  • Excellent proficiency in both written and spoken English, with strong communication skills to engage
    effectively with a diverse range of stakeholders.
  • Proven administrative skills with experience providing support to executives.
  • Highly organized and meticulous, with strong attention to detail and the ability to prioritize and manage multiple tasks simultaneously.
  • Compassionate and able to build rapport with various stakeholders.
  • Demonstrated ability in coordination and follow-up, ensuring tasks are completed efficiently.
  • Strong time management abilities,combined with a pleasant demeanor, self-motivation,
    professionalism, responsibility, and efficiency.
