Role Overview:As a Contract Administrative Assistant, you will play a vital role in providing administrative support to our contract department, ensuring the smooth and efficient operation of contractual processes. From document management and correspondence to scheduling and coordination, you will assist in maintaining accurate records, facilitating communication, and supporting the execution of contracts related to construction and structural steel projects. This role offers an exciting opportunity to work closely with cross-functional teams, gain valuable experience in contract administration, and contribute to the success of our organization.


Key Responsibilities:

  • Assist in the preparation, review, and organization of contracts, subcontract agreements, and related documents, ensuring accuracy and compliance with company standards and procedures.
  • Maintain comprehensive contract files, including correspondence, amendments, and revisions, and ensure timely submission of reports and deliverables.
  • Coordinate meetings, appointments, and conference calls, and prepare agendas, minutes, and presentations as needed.
  • Facilitate communication between internal departments, external stakeholders, subcontractors, and suppliers, and respond to inquiries and requests in a timely and professional manner.
  • Assist in monitoring contract performance, milestones, and deliverables, and support contract compliance activities, including audits and reviews.
  • Provide general administrative support to the contract department, including data entry, filing, scanning, and other tasks as assigned.

Qualifications:

  • Diploma or equivalent preferred.
  • 3 years of administrative experience, preferably in a contract administration or construction-related role.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with contract management software preferred.
  • Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
