Position: Admin Assistant
We are seeking a proactive and organized Administrative/Operations Support professional to assist our client’s international trading firm. The ideal candidate will support the administrative and operational activities, ensuring smooth and efficient operations across different time zones and markets.
Responsibilities
· Assist with the daily administrative operations
o Assist with the preparation and processing of invoices, purchase orders, and expense reports.
o Maintain accurate records of inventory levels, shipments, deliveries, and supplier/customer payment
o Coordinate with vendors, suppliers, and clients regarding financial transactions and queries.
· Prepare and handle correspondence, reports, presentations, and other documents.
· Maintain accurate and up-to-date filing systems, both electronic and physical.
· Handle incoming and outgoing communications, including emails and phone calls.
· Handle any unexpected delays or issues and work proactively to find solutions
· Any other tasks, projects and/or confidential matters assigned as and when needed.
Requirements
· High school or Diploma in any relevant field
· Ideally, possessing 0.5 – 2 years prior experience in an administrative or clerical role, preferably in a trading with warehouse or logistics environment.
· Strong organizational and multitasking skills with attention to detail and high degree of accuracy
· Strong problem-solving skills and the ability to work independently and as part of a team.
· Excellent communication and interpersonal skills.
· Strong work ethic with professional demeanor and commitment to quality.
· Ability to work across different time zones and manage time effectively.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and warehouse management software.
· We only accept applications with local residential status as foreign hiring quota is not available.
Work Arrangement
· Working hours: Mondays to Fridays from 9am to 6pm with 1 hour lunch break
· Work from office, no hybrid due to the office processing shipments (inbound and outbound)
· Office location: Nearest MRT Tai Seng(Circle Line)
