Roles & Responsibilities

Key Responsibilities


Household Management:

-Oversee daily operations of the household, including supervising maintenance and repairs.

-Coordinate with household staff (e.g., housekeepers, driver) to ensure tasks are completed efficiently.

-To engage and co-ordinate vendors, suppliers and stakeholders to set up for event

-Organize and manage household inventories, such as supplies and equipment.

-To maintain proper records of purchases, arrangement, documents and petty cash


Personal Scheduling and Calendar Management:

-Manage and update calendars for director, scheduling personal appointments, social events, and family activities.

-Assist to make reservations or appointments


Errands and Logistics:

- Run personal errands including grocery shopping, picking up dry cleaning, and handling other household needs.

- Coordinate and manage home deliveries, including groceries, packages, and other items.


Travel Coordination:

- Arrange and manage all aspects of personal and family travel, including booking flights, accommodations, transportation, and itineraries.

- Prepare travel documentation and ensure travel arrangements are updated and accurate.


Childcare and Family Support:

- Schedule and coordinate children’s school activities, appointments, and extracurricular events.

- Assist with homework and educational needs if required.

- Manage family-related tasks such as medical appointments and health care needs.


Business Coordination:

-Ensure proper record-keeping of documents and provide support for events and functions.

-Track and manage progress on office projects, ensuring deadlines and deliverables are met.


Qualifications


-Relevant experience in personal or executive assistant role is a plus

-Proactive, resourceful, and able to work independently.

-Adaptable to changing priorities and able to work under pressure.

-Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software (e.g., Google Workspace, Google Drive)

-Excellent organizational and time-management skills.

-Strong written and verbal communication skills.

-Ability to handle sensitive and confidential information with discretion.
