Operations Assistant Manager

Job Summary:
The Operations Assistant Manager / Manager will oversee the day-to-day non-clinical operations of two ambulatory surgical centers. These include a 3,000-square-foot center with 2 operating theatres (OTs) and 1 endoscopy room, and a larger center with 4 OTs. The role requires ensuring operational efficiency, compliance with regulatory standards, cost-effective resource allocation, and fostering collaboration with clinical leadership, including the Nurse Manager.
Key Responsibilities:
Operational Management:
- Manage daily non-clinical operations across both centers, including scheduling, facility maintenance, vendor contracts, and procurement of supplies.
- Oversee patient flow processes to ensure efficiency and patient satisfaction.
- Implement and maintain standard operating procedures (SOPs) aligned with regulatory requirements and organizational goals.
- Collaborate with the Nurse Manager to ensure seamless integration of clinical and operational workflows.
Compliance and Quality Assurance:
- Ensure adherence to all local regulatory standards, including those from the Ministry of Health (MOH), Workplace Safety and Health (WSH), and fire safety regulations.
- Oversee infection control measures in non-clinical areas in coordination with clinical teams.
- Monitor and manage risk assessments and participate in quality improvement initiatives.
Financial and Resource Management:
- Manage operational budgets, including tracking expenditures and ensuring cost-effective operations.
- Negotiate and manage vendor and supplier contracts.
- Track and analyze key performance indicators (KPIs) for operational efficiency.
Team Leadership and Collaboration:
- Lead and develop non-clinical staff, including administrative and support teams, ensuring alignment with organizational goals.
- Partner with the Nurse Manager to address operational challenges and optimize staffing schedules.
- Act as the liaison between clinical staff and corporate leadership, ensuring smooth communication and alignment of objectives.
Technology and Data Management:
- Oversee the implementation and management of IT systems for operations, such as patient scheduling software and inventory tracking tools.
- Ensure data security and compliance with PDPA (Personal Data Protection Act).
- Leverage data analytics to improve operational processes and performance.
Crisis Management and Contingency Planning:
- Develop and implement contingency plans for operational disruptions, such as equipment failure or staffing shortages.
- Manage emergency preparedness initiatives, including drills and resource allocation during crises.
Qualifications:
- Bachelor's degree in healthcare management, business administration, or a related field. A Master's degree is a plus.
- Minimum 3-5 years of experience in healthcare operations, preferably in an ambulatory care or surgical setting.
- Strong understanding of Singapore's healthcare regulatory environment.
- Demonstrated leadership and team management skills.
- Excellent problem-solving and decision-making abilities.
- Proficiency in operational software and familiarity with Lean or Six Sigma methodologies is an advantage.
