Roles & Responsibilities

Management of Board processes and meetings

  • Manage corporate secretarial matters for the organisation to ensure timely and accurate company secretarial record keeping, support statutory and regulatory filings/applications and monitor relevant deadlines
  • Assist the company secretary and board secretariat in management of the Board
  • Arranging hybrid-mode board meetings including logistics and attendance of attendees
  • Provide secretariat support to the Board of Directors which would include administrative support and coordination between internal staff and Board members
  • Coordinate signatures on a variety of corporate documents
  • Design, develop, and implement systems and process changes to increase efficiency, support scalability and ensure quality
  • Maintain an up to date regional company profiles and statutory documents
  • Support and work with business units and functions on the corporate-related requests

Legal Support

  • Provide administrative and general support to the Legal team
  • Tracking of legal requests which the legal team receives
  • Perform general ad hoc tasks as and when required by the in house legal counsels

Contract Management

  • Assist in setting up a framework and structure to support the management of contracts, memorandum of understanding and partnership agreements
  • Assist in the filing of contracts
  • Creating and maintaining document and correspondence database

Job Requirements:

  • Degree/ Diploma in law preferred with at least 3 years of company secretarial and document management experience in a law firm or in-house legal department
  • Ability to draft board minutes as well as board and shareholders resolutions, and/or review simple contracts/NDAs is advantageous
  • A highly motivated self-starter and versatile team player
  • Adaptable to changes and embrace improvements
  • Excellent verbal and written communication skills with good attention to detail
  • Ability to build strong working relationships with stakeholders at all levels
  • Able to work independently, prioritise, and follow through on multiple, concurrent, and often competing deliverables, while managing expectations of the business and meeting deadlines
