Administrative Executive

Job Responsibilities:
- Assist in the day-to-day administrative work of the Facilities Management Department.
- Receive all incoming calls/ enquiries related to recruitment.
- Perform daily check on the technicians/cleaners’ attendance and overtime, and ensure that the attendance and overtime is captured and approved correctly and promptly.
- Update new employee’s data via IdeaPro
- Apply leave on behalf of employees via IdeaPro
- Submission of completed invoicing with delivery order and service report to Finance department.
- Generate recurring and ad-hoc invoices to external customers.
- Email invoices to external customers and handle any billing issues.
- Assist site Admin staff in vetting data records.
- Any ad-hoc duties assigned.
Requirements:
- Minimum Diploma in Accounting, Business Administration or equivalent.
- Minimum 2 years of relevant experience.
- Experience in billings will be a distinct advantage.
- Team player with positive work attitude.
- Excellent communication, writing and interpersonal skills.
- Pro-active and meticulous.
- Able to multitask in a fast paced environment.
- Effectively bilingual in English and Mandarin.
