Senior Administrative Support

Our client, an established financial services firm is looking for a proactive and detail-oriented Executive Assistant to support the Vice President. This role is crucial in ensuring smooth operations and effective communication within the team and with external stakeholders.
Key Responsibilities:
- Manage the Vice President's calendar, including scheduling meetings, organizing conference calls, and reserving meeting spaces.
- Maintain an accurate contact database to facilitate seamless communication.
- Coordinate travel arrangements, including flights, accommodations, and transportation, while assisting with visa applications as necessary.
- Prepare and submit expense reports promptly and accurately.
- Assist the Finance team for incoming invoices and coordinating with the offshore team for invoice processing.
- Support document collection for new bank account openings and maintain accurate static data related to bank accounts.
- Professionally handle incoming phone calls and process various correspondence, reports, and letters as needed.
- Attend meetings to document key discussions, manage action items, and follow up with relevant teams to ensure deliverables are met on time.
- Work independently on special projects as directed by management.
- Provide administrative assistance to the Fund Operations platform team in Singapore, ensuring the timely preparation and formatting of PowerPoint presentations for consistency.
- Maintain internal reports, documentation, and a well-organized filing system, including a contract database.
- Undertake additional administrative duties to support the department's efficient functioning.
Qualifications:
- A minimum of 3 years of relevant experience, preferably supporting senior management within a financial services context.
- Proven ability to prioritize tasks effectively and manage competing deadlines, with a knack for self-initiating value-added tasks.
- Excellent organizational skills, meticulous attention to detail, and outstanding follow-up capabilities.
- Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, Word, and Outlook.
