Senior Service Coordinator

Position Summary:
The Senior Service Coordinator plays a pivotal role in managing Time and Material (T&M) projects from start to finish. This involves assuming full accountability for all aspects of project execution, including scheduling, parts delivery, subcontractor management, and client relationship management. This role demands a high level of accountability, organizational expertise, and customer-focused leadership to ensure successful project outcomes and unparalleled customer satisfaction.
Major activities to be performed:· Create and manage detailed Time and Material job execution plans and schedules, outlining key milestones, timelines, and resource allocations to ensure efficient and timely project delivery.
· Coordinate and expedite parts delivery to ensure timely receipt of necessary materials, minimizing delays and optimizing project schedules.
· Facilitate seamless coordination among field engineers, customers, contractors, and the service administration team to ensure smooth project execution, timely issue resolution, and exceptional customer satisfaction, while maintaining open communication channels and fostering collaborative relationships.
· Oversee job budgets, track expenditures, and ensure cost-effective management of resources to maintain financial discipline and maximize returns on investment.
· Ensure timely job closure procedures are completed, verifying that all project deliverables are met, and facilitating accurate revenue recognition in accordance with financial forecasts and organizational accounting policies.
· Foster cross-functional collaboration with the Service Administrative Team, Service Business Analyst, and Finance Team to analyse and resolve discrepancies in financial forecasts for Time and Material jobs, identifying root causes, and developing targeted corrective actions to drive process improvements and optimize financial performance.
· Maintain open and transparent communication with stakeholders, providing regular job updates, progress reports, and timely notifications of any changes, issues, or concerns.
· Proactively analyse potential risks and opportunities, identifying and mitigating threats, capitalizing on benefits, and removing obstacles to ensure smooth job execution and optimal outcomes.
· Ensure accurate and comprehensive job documentation, maintaining up-to-date records of job plans, progress, decisions, and changes, in compliance with organizational standards and regulatory requirements.
· Organize and coordinate meetings, conferences, and other Time and Material -related events, developing and distributing agendas, ensuring timely notifications, and facilitating productive discussions and decision-making.
