Facilities Executive, Group Administration

Responsibilities:

  • Sourcing, negotiating, and gathering quotations from service providers
  • Managing routine & preventive maintenance inclusive of work schedules for effective execution
  • Liaising well with all service providers for Breakdowns, Preventive Maintenance, M&E Systems, Landscaping, ACMV, EMS, FM 200, FSM, EMS, Security Systems, Protection Systems, and Doors
  • Conduct routine site walks
  • Attending to any feedback or queries on breakdowns/ defects and ensuring rectification works are carried out well.
  • Oversee & Coordinate facility repair works ensuring it complies with standard terms
  • Record-Keeping of invoices, service reports, and site inspections into Click
  • Assist to prepare yearend accruals
  • Manage purchase control to ensure budgetary compliance
  • Work closely with IT ti ensure monitor arm, pedestal, task lights are available for staff onboarding and work with pantry team on cleaning of workstation
  • Coordinate & participate in a fire drill exercise
  • Create PO or GRN for all purchases
  • Verify all invoices received for finance and upload in SAP System
  • Coordinate all A&A works with the FM team and Vendors
  • Liaising with movers for internal & external move
  • Attending/ Coordinating with all logístical arrangement requests
  • Any adhoc duties as assigned

Requirements:

  • Minimum a Diploma holder or equivalent
  • At least 2 years of relevant working experience in facilities management, preferably with M&E certification
  • Meticulous, wellorganized, and able to communicate with the team
  • Physically fit and a team player with a 'cando' attitude
  • Good communication and strong followup skills
  • Able to work under pressure and within tight deadlines.
  • Able to work outside office hours if required.
  • Knowledge of SAP and technical background Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
