Responsibilities

Administrative Tasks

  • Managing security door access, including after-hours support
  • Supervising overall office operations for a clean and comfortable workspace
  • Overseeing facilities services and maintenance activities
  • Handling office supplies, equipment, and pantry items
  • Coordinating with vendors and service providers for smooth office operations
  • Arranging business trips, hotel bookings, temporary accommodations, and visa/work permits
  • Working with cross-functional teams to ensure seamless workflow
  • Analyzing operational processes, suggesting improvements
  • Space mapping and planning

Project Management

  • Managing ad hoc admin projects, ensuring quality and timely delivery
  • Monitoring project plans, schedules, and budgets
  • Participating in stakeholder meetings and documenting outcomes
  • Preparing presentation materials for meetings

Sustainability Initiatives

  • Handling sustainability reporting, providing insights for decision-making
  • Implementing green initiatives to reduce carbon footprint

Qualifications and Profile

Functional

  • Experience in complex systems within an international environment
  • Degree holder with at least 5 years of relevant experience
  • Strong analytical and detail-oriented approach
  • Excellent communication and presentation skills
  • Proficiency in Excel and PowerPoint for clear documentation
  • Efficient and effective problem-solving skills

Technical Requirements (Mandatory)

  • In-depth knowledge of office management procedures
