  • Under limited supervision, upholds the integrity of real estate portfolio data for large, complex portfolio of clients. Inputs, maintains, organizes and reports on information regarding lease dates, dollar values and financial accounting transactions into a lease management software database. Acts as lead for data management team.
    ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Data Entry into QuickBase or system of record pertaining to:
  • Ongoing obligations (obligation type, dates, milestones, costs, reminders)
  • 3rd Party Consultant contract data cost, schedule, milestones
  • 3rd Party Agreements/Leases obligations, lease terms, costs
  • Delivery of key reports informing the business of critical dates, contract compliance requirements, outstanding compliance requirements
  • Deliver adhoc reports for management and sites lead
  • Deliver reporting prepared for Client leadership on a monthly/quarterly cadence reflecting portfolio statistics and metrics
  • Metrics and statistics to be delivered in a mutually agreed upon format
  • Manage key dates, obligations and milestones and provide appropriate notification to
  • Management/Site leads of those obligations
  • Measure and report on data completeness per PSO Data Compliance Standards, as updated from time to time, to Client
  • Tracks payables with the leases in portfolio. Processes client rent rolls utilizing the database. Prepares export files and sends to accounting for payables processing.
  • Reviews incoming invoices for errors/accuracy with lease document and ensures correct coding. Reviews profit center reports for accuracy.
  • Prepares and distributes periodic and ad hoc reports in a timely, accurate manner. Designs reports utilizing various report writers, G Suite (sheets, slides, docs). Reviews standard reports prepared by team members for accuracy.
  • Prepares and distributes critical date reports; maintains tickler system for tracking important dates and tasks.
  • May perform annual operating expense reconciliations, monitors audit windows and audit requirements contained in the lease documents.
  • Creates and maintains client lease files ensuring they contain current, accurate information.
  • Crosschecks and reviews work of peers to ensure quality and accuracy of data.
  • Coordinate business reviews with the landlords/service providers including creating presentations and managing progress on action items.
  • Performs other duties as assigned.
    SUPERVISORY RESPONSIBILITIES
  • No formal supervisory responsibilities in this position. Provides informal assistance such as technical guidance, and/or training to coworkers. Coordinates and assigns tasks to coworkers within a work unit and/or project.

    EDUCATION and EXPERIENCE
  • High school degree or general education degree required plus a minimum of four years related work experience, preferably including property management or accounting. Bachelor's degree from a fouryear college or university with Accounting, Finance or Real Estate preferred.

    COMMUNICATION SKILLS
  • Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.
  • FINANCIAL KNOWLEDGE
  • Requires indepth knowledge of financial terms and principles. Ability to calculate complex figures and conduct financial/business analysis including the preparation of reports.
    REASONING ABILITY
  • Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.
    OTHER SKILLS and ABILITIES
  • Intermediate knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Ability to work well under pressure. Advanced organizational skills.
