• Ensures timely processing of visa and other formalities relating to the joining crew.

• Ensures that all the pre joining documents are complete, checked and verified as genuine as per the applicable requirements.

• Responsible for the pre-joining preparation of approved personnel: certification, courses and tests, medical examination appointment.

• Maintains contact with personnel while on leave and during mobilization.

• Responsible for making all Training enrollments

• Maintaining accurate and up to date records in ShipSure Crewing and uploading documents if required.

• Responsible for processing flag state document applications and maintaining control procedures.

• Provides administrative assistance to other members of the Crew Cell

• Performs any other matters as may be required by the Crew Supply Manager in the efficient running of the Office.

MOM Work Pass Application and adhere to its procedures including arranging employees Medical, workman insurance and compliance to MOH prevailing COVID-19 guidelines. Administration of Employment Agreement (On-Shore and Sea staff) Prepare Employment agreement for On-Shore staff for EP application. Prepare Seafarer Employment Agreement (SEA) for Marine Employees as the operation dictates. Work closely with overseas Crewing Team to ensure smooth documentation such as but not limited to, vessel joining documents, Seafarer Employment agreements, seafarer documentation. Work closely with Crew Management Partner overseas to ensure smooth coordination between client and VGGS. Work closely with the client locally to keep the progress of EP application and operation matters intact. Update record of employees in the HR Crewing systems & ShipSure. Assisting with providing compliance in all areas of human resources. Update the tracking sheet of all employees and contractors' work pass, work pass exemption & monthly Payroll processing of all shore-based employees. To administer all employee Details coming from various Crewing Offices into Master data. Responsible for preparing and issuing of Seafarers Agreement to the Crew. To ensure prompt return of signed Seafarers Agreement from crew and acknowledge receipt To collate all signed SEAs and upload into ShipSure (SS) To ensure all crew correspondences/records are maintained in server and up to date in the SS system.
