The Challenges:
- Arrange Board meetings, create meeting agendas, and record meeting minutes for review and approval.
- Assist the CEO in following up on administrative tasks as required/requested by the Board.
- Coordinate and manage events such as the Annual General Meeting (pre and post) and any other ad hoc meetings as requested by the Board.
- Prepare and submit necessary documents to ACRA and other government agencies as needed.
- Ensure timely reporting and submissions to regulatory authorities, and maintain accurate statutory filings to comply with the Companies Act, Charities Act, and other regulatory requirements.
- Update and maintain internal and external statutory registers and records.
- Implement effective corporate secretarial practices to ensure compliance with relevant legislation and regulations, including CorpPass and PDPA requirements, and keep all parties informed of any updates.
- Collaborate with other departments in preparing secretarial documents.
- Provide secretarial support to the CEO.
- Undertake other assigned ad hoc duties by the CEO and/or Board.
What It Takes:
- Possess Diploma in Corporate Administration or a Degree equivalent
- Good knowledge of Charity Code of Governance preferred
- At least 5 years of related work experience as corporate secretary
- Good spoken and written English
- Proficient in MS office
- Utilize technological resources to enhance and optimize work efficiency.
- Demonstrate strong organizational and coordination skills.
- Pay close attention to detail while maintaining a serviceoriented mindset.
- Exhibit effective communication, customer service, and relationshipbuilding skills.
- Capable of handling ambiguity, multitasking, meeting deadlines, and working with mínimal supervision, even under pressure.
- Independent and resourceful in problemsolving and decisionmaking.
- Take prompt and decisive action.
