The HR and Admin Executive plays a vital role in managing and supporting the daily operations of the Human Resources and Administrative functions. This position involves overseeing HR processes, ensuring compliance with employment laws, and performing general administrative duties to support the smooth operation of the organization.
Responsibilities:
- Recruitment and Onboarding:
- Coordinate and support the recruitment process, including job postings, candidate screening, and interview scheduling.
- Conduct orientation sessions and facilitate the onboarding process for new hires.
- Employee Records Management:
- Maintain and update employee records, including personal information, employment history, and benefits enrollment.
- Ensure compliance with data protection regulations and confidentiality standards.
- Submission of employees’ personal and income data e.g. CPF, IR8A, levy
- Payroll and Benefits Administration:
- reparation of letters, forms, email correspondence, etc.
- Assist with payroll processing and ensure accuracy in employee compensation.
- Manage employee benefits programs, including health insurance, retirement plans, and leave management.
- Performance Management:
- Support performance appraisal processes, including scheduling reviews and tracking performance metrics.
- Address employee queries related to performance management and development.
- Compliance and Reporting:
- Stay updated on labor laws and regulations, ensuring organizational compliance.
- Prepare and submit reports related to HR metrics, employee turnover, and other relevant data.
- Office Management:
- Oversee daily office operations, including managing office supplies, equipment, and facilities.
- Coordinate maintenance and repair services for office infrastructure.
- Renewal of employee & company insurance policies (i.e. WIC, FWMI, GHS, D&O)
- All insurance claim matters; including but not limited to liaising with employees, brokers and medical institution on required treatment, claim documents, follow-up on claim status, etc…
- Administrative Support:
- Provide administrative support to senior management and other departments as needed.
- Handle correspondence, scheduling, and meeting arrangements.
- Manage and co-ordinate all training activities including enrolment, payment request, disseminate course confirmation, etc…
- Administrative duties including but not limited to grant application, vehicle notices, obtaining & evaluating quotations for corporate expenses, etc…
- Support other team members when they are on leave
- Document Management:
- Maintain and organize company documents, including contracts, policies, and other important records.
- Ensure secure storage and retrieval of sensitive information.
- Event Coordination:
- Assist in planning and organizing company events, meetings, and team-building activities.
- Any other duties as and when assigned
Requirements
- High integrity when handling confidential information
- Candidate must possess at least Diploma in Business Studies/Administration/Management, Human Resource Management or equivalent.
- Minimum 2-3 years related experience
- Good command of English (spoken & written)
- Meticulous, highly organized and able to prioritise
