ON-PREMISES OPERATION SUPPORT SERVICES: JOB RESPONSIBILITIES


1. DC OP SUPPORT REQUIREMENTS

1.1 To provide Data Centre (DC) operations at the Authority’s premises and premises identified by the Authority. The DC Operations should cover the following:

(a) DC Environment Support;

(b) DC Facilities Management Services; and

(c) Application Helpdesk Support.


2. DC ENVIRONMENT SUPPORT

2.1 To monitor the facilities infrastructure in the DC to ensure that they are within the operating levels defined by the Authority. The infrastructure to be monitored should minimally include:

(a) Power infrastructure (such as Uninterrupted Power Supply and power distribution boards);

(b) Cooling Infrastructure (such as computer room air-conditioning units);

(c) Fire detection and suppression systems (such as FM200, water sprinklers, fire extinguishers);

(d) Environment monitoring system (such as humidity and temperature); and

(e) Water leakage detection.

2.2 To ensure the DC infrastructure is monitored on twenty-four (24) hours a day, seven (7)

days a week, inclusive of Saturdays, Sundays and Public Holidays.

2.3 To work with the Authority and Authority-appointed Supplier to resolve any infrastructure issues detected in accordance to the support hours as required by the Authority.


3. DC FACILITIES MANAGEMENT SERVICES

3.1 To ensure through daily inspection, that the general cleanliness and tidiness of the data centre are maintained by the Authority-appointed Supplier.

3.2 To work with Authority-appointed Supplier on site preparation tasks such as network cabling and electrical wiring, when required.

3.3 To ensure the network cabling in the data centre and within the racks are neat and tidy.

3.4 To work with the Authority-appointed Supplier for both scheduled and ad-hoc maintenance, servicing, repair and upgrading works to the infrastructure at the Authority’s premises and premises identified by the Authority.

3.5 To plan and coordinate the maintenance activities. This includes polling the affected parties, obtaining the Authority’s approval, and sending out messages to inform the affected party.

3.6 To obtain the Authority’s approval before finalizing the plan for any activity.

3.7 To provide on-site support during the maintenance activities unless otherwise agreed by the Authority.

3.8 To maintain up-to-date documentation of the data centre design layouts.

3.9 To manage the physical security of the data centre in accordance with the guidelines provided by the Authority.

3.10 To monitor the following physical security infrastructure to ensure they are within the operating levels defined by the Authority:

(a) Security Alarm and Security Card Access System; and

(b) Closed-Circuit Television (CCTV).

3.11 To ensure that only authorised personnel are allowed to access the DCs.

3.12 To ensure that all visitors to DCs are escorted during their activities on-site.

3.13 To ensure that the visitors record their activities in the on-site log.


4. APPLICATION HELPDESK SUPPORT

4.1 To provide level 1 application helpdesk support for the Authority’s application users, adhering to the authority-provided standard operating procedures. This support should include:

(a) Technical Support:

(i) Provide prompt and effective technical support to resolve application issues via phone, email, or chat; escalation of unresolved issues to the Authority’s Level 2 engineers.

(ii) Provide support to hold and release jobs in the Authority’s Jobs Scheduler system.

(iii) Provide support to run scripts provided by the Authority’s applications or infrastructure team.

(b) Issue Resolution:

Troubleshoot and resolve complex technical problems, with escalation as needed.

(c) Case Logging:

Maintain and update call logs, ensuring all calls are appropriately closed.
