Job Description: HR and Executive Administrator
Position Summary
We are seeking a dynamic and detail-oriented HR and Executive Administrator to join our team. This mid-level role combines administrative expertise with HR support to ensure smooth personnel management and efficient human resources operations. The ideal candidate will provide assistance to senior managers, support employee lifecycle processes, and maintain HR compliance while fostering a positive workplace culture.
Preference will be given to candidates with a strong understanding of Singapore's employment regulations, labor laws, and recruitment practices.
Key Responsibilities
Personnel Support
- Serve as the primary point of contact for employee inquiries, ensuring timely and accurate responses.
- Manage Managing Director’s calendar, travel arrangements, and correspondence.
- To assist staff with travel arrangement and insurance.
- Ad-hoc tasks given by management.
HR Administrative Duties
- Support the onboarding and offboarding processes, including preparing employment contracts, work pass applications and renewals, and exit formalities.
- Maintain and update employee databases, HR systems, and records.
- Coordinate recruitment processes, including posting job vacancies, scheduling interviews, and managing candidate communications in line with Singapore’s recruitment regulations.
- Assist Finance with processing payroll inputs and claims.
- Process leave records, and benefits administration in compliance with local standards.
- Assist in developing and implementing HR policies and procedures aligned with Singapore labor laws.
- Maintain confidential personnel files, ensuring all records are up to date and compliant with Singapore's legal requirements.
- Assist in scheduling and organizing meetings, interviews, and training sessions.
- To assist with company events.
- Ad-hoc tasks given by management.
Compliance and Reporting
- Ensure HR practices comply with Singapore's Employment Act and organizational standards.
- Prepare reports on HR metrics such as turnover rates, attendance, and performance.
- Assist in audits and compliance checks.
Employee Engagement
- Organize team-building activities, events, and training programs to foster employee engagement and morale.
- Assist in addressing employee grievances and concerns, escalating issues when necessary.
- Promote a positive work environment and support diversity, equity, and inclusion initiatives.
Qualifications
- Diploma or above in Human Resources, Business Administration, or a related field.
- 2–5 years of experience in an HR or administrative support role, preferably in Singapore.
- Familiarity with Singapore's labor laws, recruitment practices, and employment guidelines.
- Proficiency in HRIS systems and MS Office Suite (Word, Excel, PowerPoint).
- Strong organizational and multitasking abilities with attention to detail.
- Excellent verbal and written communication skills.
Preferred Skills
- Experience working with payroll and benefits administration systems in Singapore.
- Familiarity with work pass applications and MOM regulatory requirements.
- Strong interpersonal skills and the ability to maintain confidentiality.
- Prior experience in employee engagement initiatives is a plus.
Work Environment
- This is an on-site position with occasional flexibility for remote work as per organizational policies.
- The role may require occasional travel for recruitment events, training programs,or company functions.
