Business Admin and Operations Executive | Chinatown | 5 Days

This SME, established in 1955, operates with a team of 30 to 40 employees and specializes in Traditional Chinese Medicine (TCM). Its core business lies in three retail outlets and the wholesale distribution of in-house branded products. With a focus on preserving cultural heritage, the company is committed to modernizing its trade practices while ensuring high standards of quality in both products and services. The office is located in the heartland of Chinatown.

Duties and Responsibilities:
- Process orders from company’s e-commerce platforms (e.g., Shopee, Lazada and our own website) and overseas orders.
- Oversee the entire order fulfillment process, including order picking, product packing, arranging deliveries, generating payment links, and updating delivery status.
- Ensure consistency and accuracy of product listings across all e-commerce platforms (e.g., product pricing, promotions, images).
- Respond promptly and professionally to customer inquiries via web chat, phone, and email.
- Address customer feedback and handle service recovery when necessary to maintain high service standards.
- Monitor and maintain inventory levels for packaging materials and other operational supplies.
- Place procurement orders for supplies when stock is low to prevent disruptions in operations.
- Assist in in-store operations such as picking and packing products when needed (e.g., festive seasons)
- Perform basic bookkeeping and accounting tasks, ensuring records are accurate and up to date.
- Provide administrative and operations support and other ad-hoc duties as required
Requirements:
- Familiarity with e-commerce platforms and retail operations.
- Exposure to basic accounting and inventory management.
- Strong organisational skills with the ability to manage multiple tasks simultaneously.
- "Can-do" attitude, showing willingness to try new things and adapt to changing situations.
- Excellent communication and interpersonal skills for effective customer engagement.
- Problem-solving mindset with the ability to handle challenges proactively.
- Attention to detail to ensure accurate product listings and order processing.
- General interest in retail, Traditional Chinese Medicine (TCM), and the healthcare industry.
