Executive Assistant

A prominent private equity firm headquartered in Singapore is seeking an Executive Assistant to support its senior leadership team. This firm specializes in investments across various sectors and maintains a strong presence in the Asia-Pacific region, with additional offices in key financial hubs. The ideal candidate should possess exceptional organizational skills, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Job responsibilities:
- Managing complex calendars, scheduling meetings, and coordinating travel arrangements (flights, visas, accommodations).
- Handling email correspondence, drafting communications, and managing confidential documents.
- Preparing meeting agendas, minutes, and follow-ups.
- Acting as a liaison between the executive and internal/external stakeholders.
- Managing office operations, vendor relationships, and expenses.
- Overseeing logistics for board meetings and annual general meetings (AGMs).
- Processing expense claims, invoices, and budget tracking.
- Maintaining confidential files and handling compliance documentation.
Requirements:
- At least 6 years of experience in similar capacity and demonstrated a track record of stability in employment
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- High level of discretion and confidentiality
- Proficiency in Microsoft Office, Google Suite, and CRM software
- Experience working in financial institutions or private equity firm is a plus
