Job Description

We are seeking a highly organised and proactive individual to support the planning, coordination, and execution of events and project-related activities at HIPER. The Senior Executive will provide comprehensive administrative and logistical support for key initiatives and events. This position reports directly to the HIPER Director and secondarily to the HIPER Centre Manager, and works closely with internal teams and external partners to ensure seamless delivery of HIPER's projects and engagements.

Duties & Responsibilities
  • Provide secretariat support including scheduling meetings, booking rooms, and taking minutes or notes.
  • Facilitate payment processing and ensure timely submission of all related documentation.
  • Support the promotion of HIPER events by developing and distributing electronic direct mailers (EDMs).
  • Assist with research dissemination efforts, including the production of quarterly newsletters, annual reports, and research-related posters.
  • Coordinate logistical and administrative tasks related to academic visitors.
  • Support procurement activities such as vendor sourcing, quotation requests, and coordination with suppliers for event-related needs (e.g., catering, venues).
Qualifications
  • Degree/Diploma in any discipline with at least 2 years of relevant work experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Organised, timely, and detail oriented with excellent communication and interpersonal skills.
  • Meticulous, well-organised and have good time management to be able to manage and prioritise across different functions and stakeholders.
  • Ability to work independently and collaboratively in a team environment.
  • Prior experience in supporting events or administrative functions is preferred.
