Position: Executive Assistant / PMO (CEO's Office) based in Singapore. You will report to the CEO and act as the trusted right-hand, managing executive support, coordinating complex calendars, personal matters, client entertainment, and driving strategic projects. You will liaise with internal and external stakeholders and represent VT Markets with professionalism.

Responsibilities
  • Manage the CEO's complex calendar across multiple time zones, schedule meetings, appointments, and strategic engagements
  • Prepare and distribute meeting agendas, take detailed minutes, and follow up on action items
  • Chase and compile regular reports and dashboards to keep the CEO informed of key metrics
  • Coordinate client entertainment activities, ensuring hospitality and relationship building
  • Handle personal and family matters including visa applications, travel arrangements, and personal appointments
  • Serve as primary contact for internal and external stakeholders seeking CEO engagement
  • Manage travel logistics including flight bookings, accommodation, and detailed itineraries
  • Screen and prioritize communications, ensuring urgent matters receive prompt attention
  • Maintain confidential filing systems and handle sensitive information with discretion
  • Coordinate with global teams to engage across regions and time zones
  • Prepare briefing materials and background information for CEO meetings and client interactions
  • Handle ad-hoc administrative tasks and special projects as required
PMO Responsibilities
  • Support the CEO in driving strategic projects by monitoring timelines, milestones, and deliverables
  • Establish and maintain a structured project tracking system for visibility into progress
  • Coordinate cross-functional teams to ensure alignment and accountability on CEO-sponsored projects
  • Develop executive-ready project updates, presentations, and performance reports
  • Identify risks and roadblocks, escalate critical issues with recommended solutions
  • Facilitate project governance with maintained documentation, decision logs, and follow-ups
  • Bridge the CEO and project owners to translate objectives into measurable outcomes

What Makes You a Great Fit

Job Experience & Education:

  • Bachelor's degree in any discipline with 3-4 years of executive assistant experience
  • Experience supporting senior executives in fast-paced environments
  • Proven ability to manage complex schedules and multiple priorities

Technical and Functional Skills:

  • Fluent in English with excellent written and verbal communication
  • Business proficiency in Mandarin required to liaise with Chinese stakeholders outside Singapore
  • Advanced proficiency in Microsoft Office, calendar systems, and administrative tools
  • Strong organizational skills with high attention to detail

Soft Skills:

  • High emotional intelligence with warm, people-focused demeanor
  • Excellent interpersonal skills and ability to build rapport quickly
  • Flexible and adaptable with changing priorities and urgent requests
  • Discretion handling confidential personal and business matters
