About the job
This role assists the Facilities Manager in ensuring that facilities activities are undertaken to a high professional standard and that the office environment meets the needs of the people that work in it. The post holder provides support in administrative matters and first-level technical support in maintenance of the office when required on a daily basis and on an ad-hoc project basis.
Key Responsibilities
- Prepare Purchase Requests (PRs) and Purchase Orders (POs): Ensure that all vendor POs have enough funds to pay respective incoming invoices by maintaining the open PO funding report
- In partnership with Facilities Manager, manage the Facilities vendors and contracts
- Prepare & submit monthly Facilities department real-time monthly invoices budget report
- Assist in Reception duties
- Responsible for ensuring the day-to-day effective running and maintenance of the office including, but not limited to: water filtration equipment, coffee machines, refrigerators, sinks, lighting, restroom equipment in good working order, etc. This includes requests received via ServiceNow portal.
- Oversee hospitality staff to ensure they are undertaking the maintenance of the office, which includes cleaning and overall tidying of the office environment per their vendor contract.
