Intern - Parent Support & Services Department

As an intern, you will significantly contribute to the safety and effectiveness of our school trip programs. You will gain practical experience in risk management and procedure development, working with various departments to understand regulatory requirements and enhance our school's travel policies.
Additionally, you will help manage and organize the trips for students and staff, as well as daily school transportation (school bus) and extracurricular activities. This role will provide you with a comprehensive understanding of the logistical and administrative aspects of school travels, outings and extracurricular activities.
Responsibilities :
1 - Participation in the development project for risk management in school trips
○ Assist in drafting procedures, guidelines and documents.
○ Help design and develop comprehensive tutorials and training support.
○ Assist in implementing new procedures.
○ Propose innovative ideas to continuously improve risk management practices based on feedback and observed outcomes.
2 - Operational assistance
● School trips:
○ Participate in the organization and coordination of school trips.
○ Assist with logistical management, including bus reservations and meal arrangements.
○ Collaborate with teachers, administrative staff and service providers to ensure smooth execution of trips.
● Bus arrivals and departures:
○ Assist during school bus arrivals and departures to facilitate efficient and orderly processes.
○ Work closely with the transport provider to maintain student discipline and ensure safety.
○ Handle any unforeseen events or emergencies on-site promptly and effectively.
● ECA (Extra-Curricular Activities):
○ Support the ECA team in overseeing and coordinating daily activities.
○ Assist in organizing end-of-year sessions, including an open house for parents.
3 - Support for various projects in the Parent Support and Services department
● Bus inspections:
○ Update and improve the current bus inspection checklist (content and format)..
○ Conduct inspections to ensure all buses are compliant and inspected during the school year.
○ Record inspection results and ensure follow-up on any identified issues.
● Canteen inspections:
○ Create a comprehensive checklist for canteen inspections.
○ Perform regular inspections, document findings, and ensure timely follow-up on any issues.
● Participate in various other projects within the Parent Support and Services department.
4 - General Department Support
● Support administrative tasks as needed for efficient and effective operations.
● Help with department activities, including preparing documents and managing databases.
REQUIRED SKILLS, EXPERIENCE AND QUALIFICATION
● Strong organizational skills.
● Excellent written and oral communication in both French and English.
● Ability to work in a team and collaborate with various stakeholders.
● Proficiency in office tools (Word, Excel, PowerPoint, Google Drive).
WORKING CONDITIONS
● Contract Type: 6 months internship starting in Jan 2025
● Work Hours: 42 hours per week
● Leave: 1.5 days of annual leave per month starting on the 4th month
