What you'll be doing

Administrative Support:

Handle calls, emails, and correspondence, redirecting them as appropriate. Handle assigned leader’s calendar, schedule appointments and meetings, and coordinate travel arrangements as needed. Assist in the preparation of reports, presentations, and other documents. Assist in all internal communication for Commercial organizations

Office Coordinator:

Act as a liaison between various departments, facilitating communication and collaboration. Coordinate and schedule meetings, conferences, and events, including preparing agendas and minutes. Assist in project management tasks, tracking progress, deadlines, and deliverables. Support HR functions such as onboarding, engagement and employee events. Assist in vendor registration and timely payments

Support APAC internal and external events

Provide logistics support for the event including contracts, booking of hotels, flights for HCPS etc On site logistic support (if held in Singapore)

Support in marketing and medical initiatives

Create Purchase orders and receiving /tracking of invoices Prepayment/payment for HCPs via meeting cards and tracking the expenses in the system Coordinate payment for speaker/consultant fees

Travel support

Support in visa application and travel bookings (occasionally)

What you'll bring

Bachelor’s degree or equivalent experience in Business Administration, Office Management, or related field preferred. Proven experience as an office assistant, or similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software Excellent communication and interpersonal skills. Strong organizational and time management abilities. Ability to prioritize tasks and work under pressure in a fast-paced environment Discretion and confidentiality when handling sensitive information.
